SUMMARY
This is a non-exempt full time hourly position reporting to the Director of Development. Manage all aspects of event planning for the Museum’s revenue generating and membership-driving programs, both on-site and virtual, including exhibition opening receptions, live music performances, members-only programs, and donor cultivation and recognition events. Serve as the Museum liaison for all facility rental clients, ensuring continuity in all aspects of event management. Provide a high level of customer service by being proactive and responsive to the needs of internal and external customers. Work collaboratively with departments and staff to maintain consistency in event flow and customer experience.
RESPONSIBILITIES
Administrative
- Provide overall administrative and project support for the Museum’s Development team.
Events
- Plan, execute and oversee all aspects of Development related and revenue generating events, including budgeting, floor plans, run of show, A/V, decor, and event flow.
- Coordinate the events calendar and communicate upcoming events and facility rentals to all employees.
- Manage facility rentals from acquisition through event execution, including scheduling, contracting, and logistics.
- Deliver a seamless, high-quality event experience for donors, members, and supporters to maintain and strengthen engagement.
- Oversee audiovisual requirements for public programs and facility rentals, including projectors, computers, and microphone use.
- Support leadership with planning and coordination of meetings and gatherings for donor cultivation and relationship management.
- Manage logistics and relationships with food service provider, Aramark, including managing centralized booking process for all Museum departments and adhering to curatorial requirements for events in the Museum galleries.
- Develop and maintain strong customer relationships by proactively managing planning needs, including requests, security requirements, contracts, and even space coordination.
- Process customer payments promptly and securely to ensure PCI compliance.
- Design and document the layout of each event to clearly communicate expectations to all event partners consistently.
- Coordinate on-site direction and execution of logistics to ensure continuity and success of events; assist with setting up program equipment as needed.
- Act as host for performers and serve as primary point of contact for guest needs, coordinating event-day logistics and deliver opening remarks as needed.
General
- Support and amplify the Museum’s commitment to justice, equity, diversity, and inclusion.
- Work collaboratively with interdepartmental teams and department heads.
- Support emerging technologies, strategies, and best practices to ensure that the Museum is current and develops new programs accordingly.
- Adhere to all prescribed organizational and departmental policies and procedures.
EDUCATION AND EXPERIENCE
- Associate’s degree required, bachelor’s degree preferred.
- Minimum 2-3 years of event planning experience required.
- Database experience (such as Salesforce or other CRM) desired.
- Audiovisual experience preferred or capability to learn the Museum’s audiovisual equipment required.
- Proficiency in Excel to create and manipulate mailing lists and donation reports.
- Proficiency in creating and working with charts, text, images, and multi-media elements in PowerPoint presentations and Word proposals.
- Experience with Microsoft Office and Cloud services including Office 365, OneDrive, Adobe Sign, and MS Teams; ability to learn new job-related software programs.

While performing the duties of this job, the employee is regularly required to remain in a stationary position; operate or use office equipment or machines, communicate, detect/distinguish. The work environment is regularly indoors and climate-controlled and occasionally outdoors for events. The noise level in the work environment is usually low during non-event days and moderate to noisy on event days. Some events feature live music in our gallery spaces.
