About the Role

The Events Coordinator will lead the planning, execution, and optimization of all Wonder Project marketing events, including screenings, experiential activations, and branded partner engagements. In addition to campaign-related work, this role will support internal events such as retreats, offsites, and ad hoc gatherings.

This individual will work closely with the Vice President of Partner Marketing to establish a clear events process—from concept to execution—while managing vendor relationships and ensuring events are aligned with broader organizational OKRs. They will take full ownership of each event, from logistics to outcome reporting, with a constant eye toward efficiency, strategic alignment, and cost-effectiveness.

The ideal candidate is organized, detail-oriented, and excited to contribute to high-impact cultural and community-facing events.

Day to Day

  • Plan, manage, and execute all marketing events, including screenings, experiential activations, and partner-driven experiences that connect communities directly to the Wonder brand.
  • Develop and maintain a formal event process, including preferred vendors, workflows, documentation, and templates.
  • Work closely with internal teams and external vendors to coordinate all visual & branding elements, ensuring every event is cohesive, elevated, and aligned with Wonder Project brand guidelines.
  • Manage vendor and agency relationships to ensure smooth and professional event execution.
  • Align each event with marketing and organizational OKRs, thinking strategically about each event’s role in channel growth and audience engagement.
  • Lead on-site execution of events and manage street teams in partnership with the Vice President of Partner Marketing.
  • Track event costs, optimize spend, and constantly seek ways to minimize expenses without compromising impact.
  • Create documentation and materials to codify event planning processes for the larger team and support agency/vendor onboarding.
  • Maintain oversight of multiple events at various stages of execution, ensuring all timelines and deliverables are met.
  • Provide projections and cost estimates for the volume and scale of events possible given current resources.
  • Work with the larger marketing team to create wrap reports detailing the impact of each event on our organizational goals.

What You Bring to the Table

  • 2–5 years of experience in event planning, experiential marketing, or brand activations (agency or in-house).
  • Proven success managing vendor and agency relationships in fast-paced, high-stakes environments.
  • Demonstrated ability to coordinate both internal and external events from start to finish.
  • Experience managing budgets, creating process documentation, and optimizing workflows.
  • Comfortable managing contract teams and working live events, including evenings and weekends as needed.
  • Strategic thinker with strong organizational skills, attention to detail, and a bias toward action.
  • Proficiency in tools such as Google Workspace, Slack, Airtable, and Notion preferred.
  • Clear communicator who can track progress, manage stakeholders, and work collaboratively across departments.

Salary & Benefits

Employment Type: CONTRACT, 6 MONTHS

Salary Range: $35,000 - $40,000
