TITLE: Office Administrator
TYPE: Direct Hire
LOCATION: West Tawakoni, TX


SCHEDULE:

  • Monday–Friday, 8:00 AM–5:00 PM
  • Occasional weekend availability may be required based on business needs
  • Minimum of 40 hours per week

ROLE OVERVIEW:

In this critical role, you'll help steer the daily operations—handling everything from titles and payroll to bookkeeping and workflow management. KEY RESPONSIBILITIES:

Administrative Operations

  • Ensure compliance by managing business licenses, tax filings, and operational fees (propane, VIT, battery)
  • Keep key records up to date—including time tracking, vehicle deals, and inventory updates
  • Finalize deals and coordinate commission payouts with the sales team
  • Process vehicle titles, registrations, and payoffs quickly and accurately
  • Work closely with state agencies to submit and verify title documentation
  • Maintain logs for keys, title statuses, and warranty/contract submissions

Payroll & Accounting

  • Oversee employee timekeeping, PTO tracking, and attendance
  • Process payroll, sales commissions, and chargebacks with precision
  • Manage accounts payable: enter invoices, run checks, and resolve vendor issues
  • Reconcile daily deposits and account balances (cash, credit, and bank)

Reporting & Support

  • Prepare monthly reconciliations and maintain financial spreadsheets
  • Track and report on key performance indicators (KPIs) for the dealership
  • Create customized reports for leadership as needed
  • Provide office-wide administrative support and assist across departments

QUALIFICATIONS:

  • 1–2+ years of title processing experience (RV, boat, or motorcycle industries welcome)
  • At least 1 year of bookkeeping experience using QuickBooks or similar software
  • Solid experience with payroll and commission processing
  • Knowledge of Dealer Management Systems (Lightspeed DMS is a plus)
  • High attention to detail, strong organizational skills, and a passion for accuracy

The pay range for this role is:

55,000 - 60,000 USD per year (West Tawakoni, TX)
