Order Processor

Summary

The Order Processor is responsible for the accurate and timely processing of customer orders from entry through shipment. This role serves as a key liaison between customers, operations, and accounting to ensure orders are executed with precision, urgency, and care. The position requires strong attention to detail, customer communication, and system proficiency.

Key Responsibilities

Order Management & Execution

  • Enter, review, and validate customer orders in NetSuite ERP for accuracy, pricing, and completeness
  • Obtain and maintain required customer bonding information and supporting documentation to ensure compliance with project and order requirements
  • Process order changes, cancellations, and updates while ensuring proper documentation
  • Maintain and update active order files, ensuring real-time visibility into order status
  • Coordinate with operations, shipping, and procurement to ensure timely fulfillment

Customer & Vendor Communication

  • Serve as a primary point of contact for customers regarding order status, delivery timelines, and product availability
  • Respond to inbound inquiries and proactively communicate updates or issues
  • Build strong customer relationships through responsive, professional service

Shipping & Documentation

  • Prepare and process purchase orders and shipping documentation
  • Ensure alignment between order entry and shipment execution
  • Provide necessary order details to accounting to support accurate invoicing

Inventory & System Coordination

  • Utilize NetSuite to track inventory availability and order status
  • Assist with inventory coordination for key customers and projects
    • Process transfer orders to move material between locations
    • Maintain inventory levels at remote locations
  • Identify and escalate discrepancies in inventory, pricing, or order fulfillment

Cross-Functional Support

  • Partner with sales, operations, and finance to resolve order-related issues
  • Confirm customer credit status with finance when required
  • Support continuous improvement efforts in order processing and fulfillment workflows

Qualifications

  • Bachelor’s degree in Supply Chain, Business, or related field preferred
  • 1–3 years of experience in order processing, customer service, logistics, or related operational support role required
  • Experience in a manufacturing or industrial environment preferred
  • Experience working within NetSuite ERP or similar required
  • Data entry and order management experience required

  • Strong customer service mindset with the ability to manage high-volume interactions professionally and efficiently
  • High level of accuracy and attention to detail in data entry and order processing
  • Effective verbal and written communication skills
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Ability to collaborate cross-functionally with operations, shipping, sales, finance, and customers
  • Proficiency in Microsoft Office Suite, particularly Excel and Outlook
  • Strong problem-solving skills and ability to adapt in a fast-paced environment
  • Ability to learn and navigate ERP, inventory, and order management systems efficiently
