Role Overview
We are seeking a highly organized and detail-oriented Office Admin to be responsible for the registration and reception of visitors, the receipt and delivery and management of the company's administrative materials, the daily communication and business docking of the lessor, the management of meeting rooms and pantry, the sending and receiving of letters and parcels and other administrative affairs support.
Responsibilities
1. Operational Data Analysis
* Analyze operational data including fixed asset, low-value supplies, traveling cost and other expenses.
* Prepare monthly performance reports and dashboards.
* Identify patterns, anomalies, and areas for improvement through data analysis.
* Support leadership with data-driven insights to improve operational decision-making.
2. Process Improvement & Operational Optimization
* Identify opportunities to improve operational efficiency, productivity, and service quality.
* Support the implementation of process improvement initiatives and operational best practices.
* Assist in maintaining and improving standard operating procedures (SOPs).
* Track and report the impact of process improvement initiatives.
3. Operational Coordination & Administrative Support
* Provide administrative coordination support to US headquarter.
* Assist with organizing operational reports, documentation, and internal communication.
* Support coordination between operations teams, warehouses, and management.
* Assist with meeting coordination, scheduling, and internal operational communications.
* Maintain organized records of operational processes and documentation.
4. Office Administration & Front Desk Support
* Provide front desk reception support at the headquarters office, including greeting visitors and managing office access.
* Assist with general office administration and coordination to ensure smooth daily office operations.
* Coordinate office logistics including meeting room arrangements and visitor support.
* Support internal teams with general office requests and administrative assistance when needed.
5. Travel & Logistics Coordination
* Assist with coordinating business travel arrangements for employees and visiting management, including flight, hotel, and transportation bookings.
* Support travel itinerary preparation and travel-related documentation.
* Coordinate logistics for visiting team members, partners, or guests at the Brea headquarters.
Qualifications
* Bachelor’s degree in Business, Supply Chain, Data Analytics, Logistics, or related field
* MBA candidates or students pursuing Business Analytics, Operations Management, or Supply Chain Management are encouraged to apply
* Strong analytical and problem-solving skills
* Proficiency in Excel / Google Sheets for data analysis and reporting
* Strong organizational and administrative coordination skills
* Ability to manage multiple priorities in a fast-paced environment
* Strong communication and interpersonal skills
* Detail-oriented with strong documentation and reporting abilities
