About the role


This Tax Onboarding Administrative Assistant will work on the Tax Compliance Team, you will be part of the Uplinq Tax Department. Your primary focus will be to work closely with the Tax Advisors and Onboarding Specialists to request initial tax documents from clients; create, document, and execute on tax client set-up SOPs; and handoff clients to the Tax Preparation team. The Tax Onboarding Administrative Assistant plays a vital role in the UPLINQ customer experience, as this team member is expected to catch the vast majority of documentation and unique processes required in a client’s tax product fulfillment.


What you'll do

  • Correspond with customers via phone call, email, Ring Central.
  • Work with the Tax Onboarding Specialist to meet with customers and gather all documentation needed for quarterly and annual filings.
  • Build meaningful relationships with Uplinq Tax customers to give them the best experience.
  • Answer customers’ questions and solve customers’ problems with the support of the Tax Onboarding Specialist.
  • Occasionally communicate with disgruntled clients and direct them to the proper tax member who can solve their problem.
  • Work with tax preparers to understand what pieces of information need to be gathered from the customer and communicating with the customer to do so.
  • Sit in on meetings with customers and take valuable notes.
  • Create customer profiles in Air Table after they sign up for Uplinq Tax.
  • Document communication with customers in Air Table.
  • Convert financial statements from pdf form to excel form using Adobe Acrobat.
  • Prepare tax engagement letters.
  • Prepare finalized returns by downloading them from Drake and modifying the pdfs to include logos and signatures in adobe.
  • Maintain an organized filing system by using a standardized system when saving files.
  • Create folders in and upload and download files from Sharefile.
  • Download all customer documentation, organize and save customer’s files in our filing system; notify tax members as necessary.
  • Create meetings for the Vice President of Tax and the Tax Onboarding Specialist as needed.
  • Find prior year returns given to Uplinq Bookkeeping and upload to tax’s filing system.
  • Download financial reports provided by Uplinq Bookkeeping and upload to tax’s filing system.

Qualifications



  • Has experience with QuickBooks Online, Adobe, ShareFile, and Google suite and ability to learn new software (required).
  • Able to occasionally communicate with disgruntled clients and direct them to the proper tax member who can solve their problem.
  • Works well with tax preparers to understand what pieces of information need to be gathered from the customer and communicating with the customer to do so.
  • Is diligent to maintain customer profiles including taking meeting notes, documenting communication, creating profiles for new customers in Uplinq Airtable software, preparing tax engagement letters
  • Able to assist in gathering data from the Accounting team including find prior year returns given to Uplinq Bookkeeping and upload to the Tax filing system, downloading financial reports provided by Uplinq Bookkeeping and upload to tax’s filing system.


Qualifications

  • Must have experience with QuickBooks Online, Adobe.
  • Plus if you have experience with ShareFile and Google Suite.
  • Strong attention to detail and ability to learn new software quickly.
  • Excellent organizational skills and a team-oriented mindset.
  • Time management and good follow-through is a must.

The pay range for this role is:

55,000.00 - 60,000.00 USD per year (Remote)
