About the role


The Tax Onboarding Administrative Assistant supports the Tax Compliance Team by working with Tax Onboarding Specialists to collect initial client documents, execute client setup processes, and transition clients to the Tax Preparation team. This role is key to ensuring a smooth customer experience by capturing all necessary documentation and unique requirements for tax fulfillment.


What you'll do

  • Partner with the Tax Onboarding Specialist to gather documentation for quarterly/annual filings and coordinate with preparers for missing information.
  • Build strong client relationships while managing occasional escalations to the appropriate tax team member.
  • Attend meetings, take detailed notes, and maintain accurate records in AirTable.
  • Prepare and finalize tax engagement letters and returns, including branding and signatures in Adobe Acrobat.
  • Organize and maintain customer files in AirTable and ShareFile, including converting and uploading financial documents.
  • Schedule meetings for tax leadership and retrieve prior-year returns and financial reports for the filing system.

Qualifications

  • Proficient in QuickBooks Online, Adobe, ShareFile, Google Suite, with ability to learn new software quickly.
  • Manage client communications, including occasional escalations, and coordinate with tax preparers to collect required information.
  • Maintain detailed customer profiles in Airtable, including notes, communications, and engagement letters.
  • Retrieve and upload prior-year returns and financial reports to the tax filing system.

The pay range for this role is:

55,000 - 60,000 USD per year (Remote (United States))
