Position Summary


This role blends traditional administrative responsibilities with cross-functional project work, making it ideal for someone who’s organized, resourceful, and thrives in a fast-moving, startup-style environment. You’ll support the CEO’s calendar and expenses, partner closely with the Chief of Staff, and contribute across strategy, marketing, operations, and more. If you're a self-starter who likes wearing multiple hats and solving problems across teams—this is your chance to grow with a lean, high-performing team.


Key Responsibilities


Executive Support (25–30%)

  • Manage the CEO’s calendar and coordinate scheduling needs
  • Book travel and handle expense reports
  • Support scheduling for internal meetings, team offsite, and cross-functional sessions

Project & Operations Coordination

  • Help prepare internal documents, reports, and presentation materials
  • Keep files, shared drives, and project trackers organized and accessible
  • Support meeting prep, capture follow-ups, and assist with logistics for internal and external events

Cross-Team Collaboration

  • Work with Marketing, Product, Sales, and Operations teams on company-wide initiatives
  • Create and maintain project trackers, templates, and simple tools that help teams stay aligned
  • Support a variety of special projects, which may include:
    • Competitive research and analysis
    • Assisting with marketing campaigns or event coordination
    • Supporting internal communications or vendor research
    • Helping document or improve workflows

What You'll Bring

  • 2–4 years in an administrative, operations, or project support role—preferably in tech, media, or startup environments
  • Excellent organizational and multitasking skills
  • Clear, confident communication—both written and verbal
  • Comfortable with tools like Microsoft Office, Slack, HubSpot a plus
  • Discretion when handling sensitive information
  • A proactive mindset—eager to learn, take initiative, and pitch in wherever needed

Pay Range: $70,000 USD
