Case Manager

We don't drag cases out. We win them quickly.

Wanta Thome is a plaintiff-side employment law firm representing employees against discrimination, harassment, retaliation, and whistleblower violations across Minnesota and Illinois. We don't bill by the hour — we get paid when our clients get paid, which means every day a case sits is a day a wronged employee waits for justice (and a day we don't get paid). Speed Wins Cases isn't a slogan here — it's the operating principle every role is built around.

The Pre-Litigation Case Manager is the engine that drives our pre-suit cycle. If our Pre-Litigation Attorneys are the negotiators, you're the one who builds the leverage package they negotiate with — fast, complete, and ready to put pressure on the other side.

What you'll own

You're the operational right hand to our Pre-Litigation Attorneys, accountable for moving every retained case from signed retainer to resolution (or escalation to litigation) in 60 days or less. Specifically, you will:

  • Verify the claim. Conduct fact-investigation interviews with newly retained clients to lock down the timeline, the actors, the witnesses, and the damages. Collect and organize the supporting documents — personnel files, communications, pay records, medical records, performance reviews — so the case is built on what actually happened, not what we assumed in intake.
  • Build demand packages that close cases. Turn a verified factual record into a settlement-grade demand: liability theory, damages model, supporting exhibits, and everything the other side needs to take us seriously the first time.
  • Drive the follow-up cadence. Track every demand letter, response deadline, and negotiation touchpoint so no opposing counsel ever gets to "forget" about us.
  • Quarterback client communication. Be the steady, informed voice clients hear during the most stressful chapter of their working lives. Set expectations, deliver updates, and keep clients out of the dark.
  • Run the pre-lit calendar. Own statute deadlines, EEOC/MDHR charge timelines, response windows, and follow-up triggers across a portfolio of cases — without anything slipping.
  • Prepare clean handoffs. When a case escalates to litigation, the file you hand off should be so complete the litigation team can hit the ground running on day one. No rework. No "where's the …?" emails.
  • Spot stuck cases before anyone else does. Flag stalls, recommend next moves, and make sure no file goes silent.

How we'll measure your success

  • Cycle time: Average velocity of pre-litigation cases resolved or escalated.
  • Demand response rate: Substantive responses received within target window on demand letters.
  • Handoff quality: 100% of escalated cases delivered to litigation with a complete file and chronology.
  • Client experience: 85+ NPS from clients resolved in pre-litigation.
  • Deadline integrity: Zero missed administrative or procedural deadlines.

Is this you?

This is not a desk where you wait for assignments. This is air traffic control for a portfolio of cases that all need to keep moving. You don't want to be the slowest-moving piece in a fast-moving system, and you don't want to work somewhere that talks about moving fast but doesn't.

You probably:

  • Get a small dopamine hit when you close a loop, file something cleanly, or send a follow-up before someone has to ask.
  • Read an email and immediately know what the next three actions are — and start doing them.
  • Have a low tolerance for processes that make no sense and a high tolerance for clients who are scared, angry, or both.
  • Care about the work and the people. You understand that the file in front of you is somebody's job, paycheck, mortgage, and dignity.
  • Want to know the score. You like KPIs. You want to know if you're winning.

If a job description full of "as needed" and "other duties as assigned" makes your skin crawl, you'll fit in here.

What you bring

Required:

  • 2+ years in a legal support, paralegal, or case management role (employment, personal injury, or other plaintiff-side practice strongly preferred).
  • Demonstrated ownership of complex, deadline-driven work across multiple files at once.
  • Strong investigative instincts: you can interview a client, ask the second and third question, and walk away with a usable factual record.
  • Excellent written and verbal English communication — you'll be drafting client updates and corresponding with opposing counsel.
  • Comfort with technology: HubSpot (or comparable CRM), Microsoft 365, document management systems, and a willingness to learn AI-assisted tools.

Preferred:

  • Paralegal certificate or associate's degree.
  • Familiarity with EEOC, MDHR, and state agency charge processes.
  • Experience preparing demand packages, settlement statements, or pre-suit damages calculations.

What you don't have to do

  • Draft substantive legal arguments or give legal advice.
  • Sales
  • Wait for someone to tell you a case is stuck before raising your hand.

What we offer

  • Compensation: commensurate with experience.
  • Recognition: Bonusly peer recognition platform — we publicly call out great work.
  • Growth: A clear path to expanded responsibility as the firm scales into new markets. We're building a national plaintiff-side firm and we're hiring people who want to grow with it.
  • Culture: A leadership team that runs on EOS, gives radical candor, and means it when we say "no ego." We say what we mean, we expect the same back, and we don't waste your time.
  • Mission: Every case you close puts money back in the pocket of an employee who was wronged. The work matters.

How to apply
