Wildfire Defense Systems, Inc. (“WDS”) is a Qualified Insurance Resource (QIR) operating the largest private sector wildfire service in the nation, encompassing a 22-state service area and specializing in wildfire education, loss prevention, and wildfire response services. Qualified Insurance Resources are defined as NWCG qualified or equivalent, wildland engines, tenders, hand crews, fire/liaison officers, and personnel working for or contracted by an insurance company with a mission to mitigate impacts on insured structures threatened by wildfire. WDS holds contracts with insurance companies to provide wildfire loss prevention services. WDS fields experienced, highly trained, safety-focused wildfire officers and fire personnel that hold a wide range of Federal Wildfire Incident Command position classifications necessary to meet or exceed all federal wildfire operation standards and codes including all requirements of the National Wildfire Coordinating Group (“NWCG”) or equivalent. WDS is capable of providing more than 180 wildland engines and hundreds of fire personnel and support personnel. WDS has served large and small insurance clients since 2008.

Job Summary

Reporting to the Associate Manager of Corporate Development (AMCP), the Corporate Development Specialist I (CDS) has two main responsibilities: (1) provide executive/organizational support in a direct working relationship with executive leadership and (2) serve as a technician for internal reporting and analytics. Th e CDS organizes and coordinates executive outreach and external relations efforts. The CDS must be creative and enjoy working within a fast-paced entrepreneurial environment that is mission-driven, results- driven, and customer service-oriented.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with

strong written and verbal communication; administrative, analytical, and organizational skills; and the ability to maintain a realistic balance among multiple priorities. The CDS must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

 

Duties and Responsibilities

·         Creates and completes a variety of financial and operational reports; monitoring and occasionally developing KPIs to support business decisions using the most up to date financial and performance data

       Leveraging approved or new platforms to create informative reports that are digestible to varying levels of leadership

·         Successfully completes and maintains all deliverables with a hands-on approach, including drafting written materials, presentation materials, marketing materials, and other tasks that facilitate the organization’s ability to communicate effectively with both internal and external stakeholders

·         Accurately extracts and applies data from Power BI tools and other data sources to produce standardized monthly, quarterly, and annual reports

·         Assists in providing a critical bridge between Department Executives, Data Teams, and other departments to facilitate and improve all regular and ad-hoc reporting

·         Works with stakeholders to create new reports when requested, as well as creating replicable workflows to maintain delivery of all new regular reporting

·         Conducts data analytics projects to provide insights for decision-making or solution development

·         Implements data standards and deploys automation tools to extract, synthesize, and validate data

·         Transforms data into usable metrics, constructs data sets, and monitors data quality

·         Troubleshoots and resolves database issues to ensure data integrity

·         Uses data visualization/BI tools, statistical methods, and data modeling to produce reports, data files, and dashboards

·         Collaborates with stakeholders to understand needs, objectives, and requirements

·         Completes a broad variety of tasks for the Department Executive including scheduling, organizing, and preparing materials for meetings between the executive, internal teams, and external entities

·         Completes notetaking and documentation for meetings as needed

·         Provides administrative support to optimize an executive’s time and interactions

·         Manages a variety of administrative tasks, projects, information, and people

·         May organize executive’s schedule, meeting preparations, and follow-ups

·         Conducts research and prepares summaries and reports for executive decision-making

·         Builds positive and strategic relationships at all organizational levels

·         Uses discretion, judgment, and knowledge to facilitate executive activities while maintaining confidentiality

·         Maintains active engagement with all data sources to identify discrepancies and errors and works with all relevant data and reporting teams to ensure data accuracy

·         Projects

       Assist the AMCP as requested on key aspects of deliverables, initiatives, and technical elements of project management

       Maintain effective working relationships internal teams for steady flow of work communication, project schedule and project milestones

       Assist projects as requested, and support projects in an administrative function

·         Serves as a liaison between project members, cross-functional teams, external vendors, and stakeholders

·         Ensures communication of deliverables, requirements, schedules, costs, and meeting plans

·         Utilizes tools to plan project timelines, tasks, milestones, and deadlines

·         Facilitates project meetings to align teams and track progress

·         Prepares agendas, meeting notes, and project summaries

·         Monitors task completion to identify risks and develop mitigation plans

·         Allocates resources, budgets, and hours, adjusting allocations when needed

·         Works on projects of limited complexity in a support role, reports to a manager with work closely managed

·         Other duties as assigned by the CAO

Qualifications

·         Bachelor’s degree preferred

·         0-2 years experience preferred

·         Experience and interest in professional internal and external communications

·         Experience and interest in data analytics

·         Hands-on experience or interest with spreadsheets, and other Microsoft products in a business setting suitable for executive consumption preferred

·         Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

·         Very strong interpersonal skills and the ability to build trusting relationships with stakeholders including staff, executive leadership, and external contacts

·         Excellent written and verbal communication skills

·         Highly resourceful team-player, with the ability to also be extremely effective independently

·         Proven ability to handle confidential information with discretion

·         Adaptable to various competing demands

 

Required Competencies

·         Proficient in Microsoft Office (Outlook, Word, Power Point, and Excel)

·         Extremely detail-oriented with an eye for discrepancies or inconsistencies

·         Able to coordinate and track multiple concurrent projects and demands

 

Physical Requirements

·         Prolonged periods sitting at a desk and working on a computer

·         Must be able to lift 15-lbs.

The pay range for this role is:

55,100 - 75,000 USD per year (Bozeman, MT)
