We're Hiring a Camp Administrative Coordinator!


At River Way Ranch Camp, we know that some of the most meaningful work happens behind the scenes. We are looking for an Office Assistant who wants to belong to a 60-year legacy and be part of the engine that makes our camp successful. This role is for the high-energy professional who finds purpose in the daily logistics and the fast-paced service that keeps our families connected and our camp running safely.

During the peak season, our office is the central hub of our operation. You will own these critical pieces of the River Way experience:

  • Organize and distribute Dog Tag awards and ensure 3 and 5 year gifts are ready for closing ceremonies.
  • Organize paperwork and make sure rosters reach the infirmary and swim testing stations on camp Opening Days.
  • Organize Staff Meeting boxes with evaluations and award forms so the leadership team is ready for meeting nights.
  • Assist in coordinating transportation boxes and manage the strict checklists for staff airport pickups, including passports and petty cash.
  • Oversee the check-out and check-in process for all camp electronic supplies.

Key Responsibilities

  • Manage high-volume inbound calls and answer sales-related questions from families professionally.
  • Maintain office organization and cleanliness to ensure the engine runs efficiently.
  • Conduct proactive outreach to families with missing forms one to two weeks before their campers arrive.
  • Maintain camper and staff databases and upload all documentation.
  • Oversee camper follow-up calls and emails to gather feedback on their experience.
  • Serve as a Petty Cash Officer and ensure all funds and receipts are reconciled immediately.

Qualifications

  • Prior experience in high-volume customer service is a plus.
  • Ability to master camp management software and maintain 100% accuracy in records.
  • Must possess endurance and strength to supervise campers in high outdoor temperatures.
  • Ability to observe behavior, enforce safety rules, and respond to emergencies
  • Must remain alert for extended periods and lift up to 40 lbs with reasonable accommodation.
  • Work includes indoor and outdoor tasks with exposure to noise and environmental elements.
