Job Description

The Operations Manager plays a critical role in keeping Wonderist's leadership team aligned, organized, and moving forward. You'll coordinate initiatives across departments, manage key leadership planning processes, ensure our work management systems run smoothly, and provide essential operational support that enables the Chief of Staff and executive team to focus on high-impact strategic work. This role requires strong organizational skills, project management expertise, attention to detail, excellent communication, and the ability to manage competing priorities with grace. Working closely with the Chief of Staff, Co-Founders, and other leadership team members, you'll serve as a key operational support partner—bridging tactical execution with strategic support to maintain organizational clarity and momentum.

Essential Functions: What You’ll Do

Initiative Project Management & Leadership Support

  • Provide project management support across the leadership team, tracking initiatives milestones and ensuring they stay on track and within scope
  • Report on initiative status to Chief of Staff and leadership team, escalating risks and issues as needed
  • Coordinate cross-functional initiative timelines, stakeholders involvement and dependencies or potential bottlenecks
  • Support ad-hoc tasks as needed by executive leadership, including meeting preparation, slide deck creation, and brief development
  • Capture decisions in meetings and support moving initiatives forward

Planning Cycle Coordination

  • Coordinate Directors and Team Leads to produce required materials for QBRs and Annual Planning (KPI tracking, initiative project plans, capacity plans, etc)
  • Support the Annual Planning and QBR processes by managing timelines, tracking submissions, and ensuring completion
  • Ensure materials meet quality standards for clarity, alignment, and completeness before final review

Scheduling, Logistics & Documentation

  • Partner with the Office/Culture team to manage scheduling, logistics, and documentation for leadership meetings and company events
  • Maintain organized documentation systems for key decisions, initiatives, and processes
  • Coordinate meeting preparation and follow-up to ensure action items are tracked

Operations Systems Support

  • Support daily Monday.com operations, including user access, data cleanup, board optimizations, and workflow efficiency
  • Resolve operational bottlenecks and workflow issues in partnership with the COS
  • Assist Directors and Team Leads with Monday.com automations and troubleshooting
  • Maintain data quality and consistency across work management tools
  • Help identify and resolve workflow issues

Operational Support & Communication

  • Draft communications, updates, and materials on behalf of leadership as needed
  • Maintain communication loops between leadership and teams
  • Surface operational issues that need attention
  • Support the Chief of Staff with administrative and operational tasks

Minimum Qualifications:

  • 3-5 years of experience in operations, project management, or executive support roles
  • Proven ability to manage multiple projects and stakeholders simultaneously
  • Strong organizational and time management skills
  • Experience with project management or work management tools
  • Excellent written and verbal communication skills
  • Bachelor's degree preferred
