We are seeking a detail-oriented Sales Operations Analyst to join our team in the Philippines. This role is critical to streamlining our sales operations by managing contract creation, deal processing, and administrative tasks that support our GTM teams. The ideal candidate will have strong attention to detail, excellent data management skills, and the ability to work independently while supporting a fast-paced sales environment.




Key Responsibilities:

Contract & Deal Management (Primary - 70%)

  • Create and prepare sales contracts using provided templates and pricing guidelines.
  • Process signed contracts including downloading, organizing in Google Drive, and updating HubSpot records.
  • Complete deal closure processes in HubSpot, ensuring all required fields are accurately populated.
  • Maintain data integrity across multiple systems (HubSpot, Streetsmart, Airtable, etc.)
  • Create preliminary proposals in Streetsmart (70% completion) for AE final customization.

Customer Provisioning & Setup (20%)

  • Provision new customers in MSP (Vanta) platform.
  • Add customer details, frameworks, and company size information.
  • Set up user permissions and send admin invitations for Vanta instances.

Data Hygiene & Quality Control (10%)

  • Monitor and prevent duplicate deal creation across the CRM.
  • Conduct weekly audits to identify companies with contacts but no associated deals.



Required Qualifications:

Experience & Skills

  • 2+ years of experience in sales operations, deal desk, or similar administrative role.
  • Proven experience with HubSpot (strongly preferred).
  • Strong proficiency in Google Workspace (Docs, Sheets, Drive).
  • Experience with contract management and sales documentation.
  • Excellent attention to detail with ability to maintain data accuracy across multiple systems.

Technical Requirements

  • Ability to work with multiple software platforms simultaneously.
  • Experience with workflow automation tools is a plus.
  • Familiarity with SaaS business models and terminology.

Performance Metrics

  • Processing Time: Complete Sprint deals end-to-end within 15 minutes.
  • Volume Management: Handle 10-15 new deals daily, 20-30 contracts daily.
  • Accuracy Rate: Maintain 98%+ data accuracy across all systems.
  • Response Time: Process contract requests within 2 business hours.

Key Success Factors

  • Process Orientation: Ability to follow detailed SOPs while identifying improvement opportunities.
  • Speed & Accuracy: Balance quick turnaround times with meticulous attention to detail.
  • Communication: Clear, proactive communication with sales team and management.
  • Problem-Solving: Identify bottlenecks and suggest practical solutions.
  • Reliability: Consistent performance in a remote environment with minimal supervision

Working Conditions:

  • Location: Remote (Philippines-based)
  • Schedule: Monday-Friday, with core hours overlapping US mountain time business hours.
  • Team Structure: Reports to Revenue Operations Team.
  • Collaboration: Works closely with Account Executives, Customer Success, and Finance teams

  • Must be amenable to work US Eastern Time zone hours.
  • Fluency in written and verbal English communication skills.
