Role Summary:

As the Project Coordinator supporting the team, you will drive project deliverables and administration for the Engagement Teams while providing exceptional service experience to ZRG clients and candidates.

Key Responsibilities:

  •  Drive administrative project deliverables for Engagement Teams, ensuring exceptional service for ZRG clients and candidates.
  • Work collaboratively with colleagues and teams in a dynamic, fast-paced professional services environment to achieve high-quality results.
  • Organize and oversee key stages of the executive search process, partnering with clients, Managing Directors, and Associates to meet deadlines and address needs.
  • Create high-quality documentation, presentations, and correspondence while maintaining confidentiality and upholding ZRG’s standards and reputation.
  • Ensure data accuracy and integrity within ZRG’s proprietary database and digital platform.
  • Manage the lifecycle of search projects, including documentation such as client contracts, position descriptions, status updates, and candidate summaries.
  • Monitor search projects, strategic initiatives, and business development efforts using Salesforce (ZRG’s cloud-based platform).
  • Build and foster relationships with candidates and clients during the search process and support ongoing client relationship development.
  • Arrange and coordinate candidate interviews (phone, video, in-person) and related travel, as well as engagement meetings (internal and external), including references and client interviews.
  • Provide continuous support and take responsibility for administrative tasks throughout client engagements.
  • Proactively identify potential challenges, and develop contingency plans as needed.
  • Review and prepare delivery documentation for accuracy and completeness, handling multiple projects, stakeholders, priorities, and deliverables.
  • Utilize company resources to effectively guide projects and engagement deliverables from start to finish, maintaining accurate records of candidate interviews and client meetings.
  • Facilitate professional, proactive, and responsive communications with clients, candidates, and colleagues, offering clear direction and guidance.
  • Use analytical skills to resolve challenges and ensure smooth engagement operations.
  • Prioritize tasks, set achievable goals, and manage time effectively to meet deadlines and objectives.
  • Support Engagement leaders and teams proactively, anticipating delivery needs and steering engagement progress through changes in timelines and deliverables.
  • Uphold and contribute to ZRG business goals and values.

Qualifications:

  • Administrative experience supporting senior management in a client-driven business, ideally within the professional services industry.
  • Advanced proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint), CRM systems/databases, design and cloud-based tools, and virtual video conferencing systems; comfort with adopting new technologies.
  • Commitment to fostering a strong team culture and building relationships with internal and external stakeholders.
  • Proven ability to meet multiple and unexpected deadlines in a fast-paced environment requiring quick turnarounds.
  • Experience resolving blockers independently and working with minimal supervision.
  • Proactive, detail-oriented, organized, and able to anticipate needs while managing multiple priorities.
  • Minimum six years of work experience, preferably two years in a professional services, executive search, or human resource’s role.
