This role will be located in Redwood City, CA and is hybrid with a minimum of 3 days per week onsite.


How You'll Contribute

This position will play a key role in the growth and development of the department and the wider business. The successful candidate will initially master the day-to-day requirements as outlined below and in time will also seek to become a strategic partner to the CFO and support in driving the agenda of the department and beyond. The candidate will seek out proactive ways to add value, drive enhancements, and build collaborative ways of working with other functions to support the positive evolution of the company.


What You'll Do

  • Manage and maintain executive's schedule by planning and scheduling meetings, conferences, online conferences and travel. Optimizes schedule for maximum efficiency, prioritizes appointments and proactively resolves schedule conflicts.
  • Coordinate in-office meetings, prepares and circulates electronic and physical meeting materials and coordinates catering with Office Services as required.
  • Collects and prepares presentation materials for Committee meetings and prepares Committee meeting packages.
  • Supports the scheduling and coordination of meetings, including the preparation of agenda, attendees, and related activities, held on site and via online conference.
  • Prepares and edits correspondence, communications, presentations and other documents.
  • Coordinates travel arrangements as required. Manages domestic and international needs, including air, hotel reservations, ground transportation, visa’s, agendas etc.
  • Assists in monitoring and reporting of expenses, generates purchase orders and completes executive expense claims and corporate credit card reconciliation as per the company guidelines and deadlines. Works with finance and HR in line with the organizational policies   and procedures necessary.
  • Provide office backup when needed at the Redwood City Office
  • Proactively looks for new ways to improve current processes, maximize executive and team productivity and support continuous improvement/efficiency within the reporting departments.
  • Leads the organization and agenda setting of events within the reporting departments, in accordance with agreed logistics, scope, timelines and budget allocations.
  • Provides further support to the other support functions including Business Development and IT.
  • Support in making the workplace, and the supported functions, a great place to work through various office and social initiatives.
  • Works closely with the Executive Assistant of the CEO and provide back up when necessary
  • Seek out ways to drive effective working practices and collaboration across the support functions and the wider business.

What You'll Bring

  • Post-secondary education in business, office administration, or a related program and 5 or more years of related experience or an equivalent combination of education and experience. 
  • Proven interpersonal skills with the ability to work collaboratively as a member of a cross- functional team and to establish and maintain effective working relationships with employees, management and external associates.
  • Excellent communication skills both oral and written
  • Strong organizational skills and the ability to work effectively in a high paced, fast changing environment. Results-oriented.
  • Proven ability to be discreet and manage confidentiality
  • Excellent customer service skills with a proactive, problem solving approach. Ability to function professionally and pleasantly during periods of high stress.
  • Pro-active approach to providing support and adding value.
  • Demonstrates initiative and the ability to make thoughtful and timely decisions.
  • Ability to exercise professionalism, sound judgement   and discretion when handling issues  of a difficult sensitive or confidential nature.
  • Excellent oral and written communication skills. Strong attention to detail.
  • Experience coordinating domestic and international travel arrangements in multiple time- zones
  • Proficiency with MS Office.

The base salary range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position in the location for which the job is posted and does not include bonus, equity, or benefits. Within the range, individual pay is determined by a variety of factors and the salary offered may vary depending on the successful candidate’s location and qualifications (including, but not limited to, job-related knowledge, education, training, skills, and experience).

The pay range for this role is:

93,750 - 143,750 USD per year (US)
