AI Product Manager

The Opportunity 

SecondMuse is building an AI-native proposal development platform and we are looking for the product manager to own it and other SecondMuse AI platforms. Over the past year, we've built the foundation: a proposal repository, structured knowledge base, agent workflows, and a competitive intelligence pipeline that includes analysis of winning proposals. The system has already cut proposal turnaround time by more than half. Now we need someone to take it further.

As AI Product Manager, you'll manage and contribute to the platform's roadmap and its outcomes, measured by proposal win rates, ease of use, time-to-submission, and the quality and reusability of our institutional knowledge. You'll spend roughly half your time writing and supporting proposals alongside our growth and program teams, using that hands-on experience as direct research input into the platform. The other half is building: refining AI workflows, designing evaluation frameworks to measure output quality, structuring knowledge for retrieval, and turning every proposal cycle, win or lose, into system-level improvement.


You'll work as part of SecondMuse's Business Development and Technology teams (6–8 people), partnering directly with an AI developer and collaborating with growth leads, program designers, and subject-matter experts across the organization. Once this product has been launched and refined, you will be able to work on additional products.

This role is ideal for someone who combines strong analytical writing with a product mindset—someone who doesn't just use AI tools but designs systems that get measurably better over time.

Core Responsibilities

  • Build and contribute to  the Proposal Platform (~50%)
    • Write and support proposals alongside growth and program teams to deeply understand what the platform must deliver
    • Translate complex program designs, methodologies, and impact evidence into clear, persuasive narratives aligned with client evaluation criteria
    • Edit and refine AI-generated content for clarity, tone, and narrative strength
    • Use every proposal cycle as structured research: identify what worked, what broke, and what the platform needs next
  • Build, Measure, and Improve the Platform (~30%)
    • Manage and contribute to the product roadmap for SecondMuse's AI-enabled proposal system, including scoping and budgeting capabilities using SecondMuse budget frameworks
    • Design evaluation frameworks to systematically measure AI output quality with versioned, testable criteria
    • Analyze competitive intelligence sources to reverse-engineer what evaluators reward
    • Structure proposal knowledge (past performance, methodologies, bios, case studies, evidence) for efficient retrieval and reuse
    • Build and maintain feedback loops: capture debrief data, evaluator feedback, and win/loss patterns to feed back into the system
    • Partner with SecondMuse's AI developer to integrate proposal workflows with HubSpot, Google Workspace, and the broader toolchain
  • Strengthen the Proposal Process (20%)
    • Document and continuously refine SecondMuse's proposal development workflow
    • Support growth leads in structuring proposal narratives and win themes
    • Maintain proposal templates, narrative libraries, and reusable content assets
    • Identify bottlenecks and design process improvements that reduce cycle time

  1. Support the SecondMuse team's efforts to improve proposal win rates: Drive measurable improvement in proposal win rates, time-to-submission, and content quality by combining hands-on proposal work with systematic platform development.
  2. Build a Scalable Knowledge System: Develop and maintain structured knowledge assets including past performance, methodologies, evidence, and competitive intelligence, that compound in value with each proposal cycle.
  3. Design for Measurable Quality: Establish evaluation frameworks, quality benchmarks, and feedback loops that make the platform's improvement visible and data-driven rather than anecdotal.
  4. Turn Every Cycle Into Learning: Formalize how SecondMuse captures and applies lessons from proposal outcomes (wins, losses, evaluator feedback) so the system gets smarter, not just bigger.

Core Competencies

  1. Strategic Writing and Narrative Development: Demonstrated ability to craft structured, persuasive proposals that communicate program design, impact, and value. Skilled at synthesizing complex ideas into compelling narratives aligned with evaluation criteria. Exceptional editing and quality assurance instincts. 
  2. Systems Thinking and Process Design: Ability to see patterns across proposal cycles and translate them into scalable workflows, knowledge structures, and tools. Comfortable designing systems that improve quality, efficiency, and institutional learning over time. 
  3. AI Workflow Design and Evaluation: Experience designing or refining AI-assisted workflows for content generation, research, or knowledge retrieval. Able to build evaluation criteria for AI outputs, test systematically, and iterate based on measurable results—not just prompt engineering, but product-level quality management. 
  4. Analytical Learning and Competitive Intelligence: Ability to analyze proposal outcomes, evaluator feedback, competitive data, and internal debriefs to extract actionable improvements. Treats every proposal cycle as a data source. 
  5. Cross-Team Collaboration and Communication: Ability to work effectively with growth leads, program teams, subject-matter experts, and technical partners. Comfortable translating between business needs and technical implementation.


Education and Experience

Experience comes in many different forms. At SecondMuse, we are committed to creating a diverse and inclusive community of individuals with a wide range of backgrounds. As guidance, we prefer applicants to have:

  • 3+ years of experience in proposal writing, technical writing, research synthesis, or related analytical writing roles
  • Demonstrated ability to translate complex ideas, research, or technical concepts into clear and persuasive narratives
  • Experience contributing to or coordinating complex written deliverables involving multiple collaborators
  • Strong editing, storytelling, and narrative development skills
  • Experience with AI-assisted writing, workflow design, or building systems that improve content quality over time
  • Comfort working with AI tools and designing workflows that integrate them into professional processes

Preferred: 

  • Experience writing proposals for foundations, government agencies, or mission-driven organizations
  • Familiarity with knowledge management systems, content repositories, or structured information architectures
  • Background in economic development, climate, innovation, education, or community development
  • Experience with HubSpot, Google Workspace, or similar business systems in a business development context

Work Environment
We want candidates who will thrive in fast-paced, high-performing, learning-oriented, and collaborative work environments. This is a full-time remote role based in the USA. Periodic domestic travel may be required. This position involves collaboration with teams across North America. Flexibility to work across US time zones is essential.

This role offers an annual salary of $100,000 and a comprehensive benefits package.
